General Terms and Conditions
There’s nothing better than the amazing scenery and the time to relax and enjoy the area and other activities with your friends. However, the KVR can throw up a few challenges. Please be aware that the KVR is a relatively unmaintained cycle trail traversing wilderness areas. That’s a big part of the attraction.
Cyclists should always arrive fit, healthy, and well-prepared. We will give you all the resources you need to navigate the trail, but you must also be ready to ride!
We keep our tour sizes at manageable numbers so we can offer you our best service. If you are putting together a larger group, reach out to us to discuss a custom trip.
Group Interaction
You may be on a tour with other riders who aren’t part of your group. The only planned point of interaction is the send-off on Day 1, when we’re finalizing bike assignments and sharing safety information. Everything else is unique to your group. You will meet other cyclists on the trail (not just from our tour)…that’s part of the experience.
Self-Guided Tours
All of our tours are self-guided. This means that we aren’t cycling the trail with you and we aren’t traveling alongside with a vehicle. What we are doing:
- Getting you started on Day 1; sizing bikes, providing safety information
- Shuttling your luggage, as applicable
- Delivering meal hampers, as applicable
- Confirming and reconfirming plans daily with accommodators, shuttles, and other service providers
- Emergency response for bike repairs if you are stuck
- Handling all the unexpected situations that arise (you’d be surprised…!)
- Monitoring the weather and emergencies that may arise and relaying information to you
- Answering your questions while you’re on the trail
Once you’ve decided on a tour, an invoice for 25% of the total tour cost will be issued to you as a deposit for your tour. Your deposit secures your accommodations.
We’ll send you payment options that may vary depending on where you’re from. Note that we do not take your credit card information.
Along with the deposit invoice, we’ll send you:
- Our Booking Terms & Conditions policy
- Our Release of Liability Agreement which we’ll ask you to sign before the tour starts
- A summary of your tour, including your dates
Please note: Any requested changes to your itinerary after this stage may incur additional fees. Please be sure your dates are correct and all details in your itinerary have been reviewed carefully and understood by all members of your group.
Your deposit is refundable (less a $230/person administration charge) up to 30 days ahead of your tour departure.
Your final payment is due 30 days prior to your departure. We’ll invoice you ahead of that for the 75% balance. Once received, you will be sent details for each day of your tour. Route Notes and any further updates on conditions and weather will be sent within 10 days of your departure.
Cancellation up to 7 days ahead of your tour departure will be refunded at 50%. After that, we are not able to offer you a refund under any circumstances.
We may be forced to cancel or re-route tours in extreme weather conditions. The Province of BC holds final authority for determining if trail closure is required for safety reasons or extreme events. In these circumstances, we are not able to offer you a refund.
We strongly recommend that you take out trip interruption/trip cancellation insurance either through your credit card provider or regular insurance provider. Please be sure to check with your insurance provider regarding public health alerts, weather events, illness, etc.
